What is EPFO e-sewa

The increase in digitalization and use of mobile technology has increased exponentially in the last decade. The Employee Provident Fund Organization (EPFO) has launched e-sewa services to ease out several processes by giving them access through their portable and non-portable devices (Mobiles, Computers etc.). Let’s discuss how E-sewa has benefitted EPF account holders.

EPFO Roles and Functions

EPF is better known as Employee Provident Fund, which is a savings scheme that can be easily availed by salaried persons. The EPFO is an organization formed to help the Central Board of Trustees and is governed by the ministry of Labour and Employment, Government of India. It assists the Central Board of Trustees in administering the Provident Fund Scheme, a pension scheme and Insurance scheme for the registered entities in India and every worker working in these institutions or international workers covered in the same. Its functions include enforcing the act across the country, maintenance of individual accounts, settlement of claims, investment of funds, ensuring prompt pension payment and updating records etc. EPFO has been taking several measures to ease the operation of EPF for both employee and employer by accepting IT enabled tools and techniques.  Basically, it monitors, administers and provides services to both employee and employer, i.e. covered members.

Services Offered and Advantages for Members


EPFO introduced UAN, a 12-digit unique identity for different members. It was launched in October 24, 2014 as part of Deen Dayal Upadhyay Shramev Karyakaram. It an exceptional step taken by EPFO to simplify the process.

UAN Member E-Sewa

E-sewa is provided to all the UAN members who register on the portal under members using their UAN for availing services. This will unlock services like UAN card download, updating KYC information online, receiving EPF account Passbook linked to UAN etc.

Online Transfer of EPF

Earlier PF was transferable under the Online Transfer Claim Portal, but with the introduction of UAN, the process of transfer is modified and shifted under the Unified Portal. This made the process easier, smooth and paperless.

Online Withdrawal

Employees can withdraw PF if she/he is not employed for 60 days after resigning the previous employment. EPFO has enabled online PF withdrawal with simple procedures For UAN Aadhar linked.

PF Payment Online

It is now mandatory to make the payments of PF online. At present, EPFO has tie ups with almost 10 banks which is only going to increase for the convenience of members.

SMS Service/alerts and Missed Call Service

With this service the UAN members can know there KYC details, total PF balance, last contribution etc. by sending an SMS in the format EPFOHO UAN followed by first three characters of the preferred language to a number 7738299899 followed by first three characters of the language you want. For e.g.-: EPFOHO UAN ENG.

You can also give a missed call on 01122901406 to avail your PF number, age name and your PF balance.
Government of India has also released UMANG application where members can check their balance whenever they want.

Centralized Services Offered for International Workers

The Employees’ Provident Fund Organisation (EPFO) has launched an online facility to apply for a certificate of coverage (CoC) required by an Indian employee going to work overseas to claim exemption from the host country’s social security.

Advantages of using E-sewa for Employers

There are certain advantages of using e-sewa for the employers:

  • Employers can now use the services without using paper i.e. returns that needs preparation and submission to EPFO.
  • There is no need of submitting returns viz Form 5/10/12A,3A and 6A.
  • Employers will be immediately notified about the confirmation of payments through SMS.
  • The EPF contribution will be credited to all the members month-wise.
  • Annual account slips are also made available for viewing online from year 2011-2012 and so on.
  • Also, employer can request to view any annual account slip through the portal, but only prior to 2011.

How to Use the E-Sewa Facility

Kindly follow the steps specified to register and use the EPF e-Sewa facility as per your convenience:

  • To use the E-sewa facility you must log on here.
  • Register your establishment at EPFO website.
  • You will be provided a temporary system generated username and password.
  • You need to create your own user id and password later to enjoy the facilities.

Steps to Download E-return Tool (For first time installation):

  • Log on to the website, and click on ‘E-return tool for employers’. Read the installation instructions for more details.
  • Download the software ‘A-L’ and for upgrading an older version, download ‘E&F’.
  • Now install the software and enter the employee’s details, like wages and contribution to EPF.
  • Using the module ‘Generate Returns for Submission to EPFO’ and ‘Electronic Challan Cum Return Form (ECR)’, generate the respective text file.

Electronic Challan/Return (ECR)

An Electronic Challan /Return (ECR) is an online receipt introduced by EPFO. It is an electronic return in a plain text format which contains lines to mention the details. EPFO portal allows employers to register their respective establishments and generate user id and password. The registered members can upload their returns, which will be in a digitally signed PDF format. The output file can be downloaded from an Adrenalin product according to the format prescribed by the EPFO department.

Steps to Generate and File ECR

The challan is generated through the following steps:

  1. Log in to the e-Sewa portal.
  2. Then upload the generated ECR by clicking on ‘ECR upload’ under the ‘ECR’ module. Make sure the ECR is uploaded for the correct month and year.
  3. The summary sheet will appear on entering correct data, now on the Summary sheet enter the ‘Total EDLI Contribution’, ‘Total EPF Administrative/Inspection Charges’, and ‘Total EDLI Administrative/Inspection Charges’. Also update ‘the contribution rate’ according to your institution, by default it is 12% but you can change it to 10% if applicable to your institution. Submit the ECR.
  4. A digitally signed PDF will appear on the screen. If the members in the file is more than 200, you will have to wait for an SMS notification to view or download the same. It is a must to validate the data within the file with the ECR text file that you uploaded.
  5. To generate challan online you need to approve the PDF file by clicking on the ‘approve button’. After approving, a Temporary Reference Return Number (TRRN) will be generated for the uploaded file.
  6. The next screen contains the Challan Receipt File and Acknowledgement Slip corresponding to this ECR. Click on Challan Receipt File to download.
  7. Print the Challan using the TRRN number and manually update the details under the section ‘For establishment use only’.
  8. Then make the payment along with challan to state bank of India, either online or using cheque/D.D. submitted at a designated branch of the Bank.
  9. Once the above payment is realized, you will receive an alert as SMS. That’s how the ECR filing for a month is done.

UAN Member E-Sewa

EPFO launched an application namely, “EPF UAN Member e-Sewa Helpdesk” compatible with android, which is easily available on Google play store.   The key features of the application are as follows:

  • Users can receive UAN registration number online instantly.
  • It also provides facility to activate the corresponding UAN.
  • Users can check the status of their UAN too.
  • You can download EPF passbook online from the application.
  • Employer/Employee can also check the balance in the EPF.
  • The app also authenticates the KYC provided.
  • The app is easy to use, such as viewing status, updating or modifying email address, and mobile number.
  • You can also link all your PF accounts using this android application.
  • One of the most important benefit of the application is to access an Online Claim Transfer Portal (OCTP).

Q3. What if an already registered employer forgets his password?

  • Below the login, click on ’Forgot Password’. A pop-up link will appear on the screen where you must provide your institute/establishment id or primary mobile number or primary e-mail id. You will receive respective SMS /e-mail through which you can log in.
