A waybill is a receipt or a document issued by a carrier giving details and instructions related to the shipment of a consignment of goods and the details include the name of the consignor, consignee, the point of origin of the consignment, its destination, and route. Electronic way bill (e-way bill) is basically a compliance mechanism wherein by way of a digital interface, the person causing the movement of goods uploads the relevant information prior to the commencement of movement of goods and generates e-way bill on the GST portal. One can also generate multiple e-way bills together in the form of a document called a consolidated e-way bill.

What is a Consolidated e-Way Bill?

A consolidated e way bill is a document which contains multiple e-way bills for multiple consignments of various consignors or consignees being carried by a single goods vehicle. Instead of carrying multiple e way bills for different consignments, the transporter can furnish all the details in one single document. Form ‘EWB-02’ is the one which is generated as the consolidated e-way bill.

Documents or Details Required for Generating Consolidated e-Way Bill

Before you try to generate a consolidated e-way bill, you need the following documents and information at hand:

  • Individual invoice/bill/challan related to the consignments
  • Transporter ID or vehicle number
  • Transporter document number. In case of transport by rail, air or ship, the date on such document shall also be noted
  • Individual e-way bill numbers

How to Generate Consolidated e-Way Bill?

You can generate e way bill on the government’s portal easily by following the given steps:

  • Step 1: Login to the e way bill portal
  • Step 2: Under the ‘Consolidated EWB’ option that appears on the left-hand side of the dashboard, select ‘Generate new’
  • Step 3: You are required to fill out the following details:
    • Select appropriate mode of transport – road/rail/ship/air
    • Select ‘from state’ from the drop-down list
    • Enter the location from where the transportation of goods takes place in the ‘vehicle starts from’ field
    • Enter the vehicle number
    • Enter the already generated e-way bill number
  • Step 4: After entering the bill number, the rest of the fields are auto-populated, click on the ‘Submit’ button
  • Step 5: An e-way bill in form EWB-02 is generated with a unique 12-digit number

How to Print the Consolidated e-Way Bill?

The consolidated e-way bill can be printed by following the steps mentioned below:

  • Step 1: Under the ‘Consolidated EWB’ option that appears on the left-hand side of the dashboard, select ‘Print Consolidated EWB’
  • Step 2: Enter your 12 digits e-way bill number/consolidated e-way bill number and click on ‘GO’
  • Step 3: Click on the ‘Print’ button and you will be able to print your consolidated e-way bill

How to Re-generate a Consolidated e-Way Bill?

The consolidated e way bill can be regenerated using the ‘Re-Generate’ option under the ‘Consolidate EWB option’ on the dashboard. This option can be used to update the vehicle details in case of a change of vehicle due to any unforeseen reason under the tab ‘Update Vehicle’. This can be done by either entering the consolidated EWB number or by entering the date of generation of such consolidated EWB. A reason for justification of such change shall be provided while updating the vehicle details.

How to Cancel a Consolidated e-Way Bill?

The cancellation process involves the following steps:

  • Step 1: The e-way bill can be cancelled by using the ‘Cancel consolidated EWB’ option under the ‘Consolidated EWB’ tab.
  • Step 2: You are required to enter the consolidated EWB number and click the ‘GO’ button.
  • Step 3: Your consolidated EWB will be displayed on the screen with an option to cancel the bill. The assessee will not be able to make any further changes to the bill once the consolidated EWB has been cancelled.
